The real question is not how clever the AI is. It is whether a patient who messages your clinic at 10 pm gets a correct answer, and whether you stay in control of what gets said.

What does an AI receptionist do at a clinic, and what doesn't it do?

An AI receptionist answers the routine front-desk questions on chat and books appointments. Anything clinical, urgent or sensitive stays with your staff and doctor.

Think of the questions your receptionist answers twenty times a day. What is the fee? Is the doctor sitting on Sunday? Where do I park? Can I come at 7? Those need your clinic's information, not medical judgement. That is the work an AI receptionist can take off your front desk.

Front-desk jobs it can take

  • Fees. Consultation and procedure charges, written the way you want them said. The 2002 NMC code allows a public declaration of charges.
  • Timings. Clinic hours, which doctor sits on which day, holiday closures.
  • Directions. Address, landmark, parking, which floor.
  • Booking. Offering free slots, booking one and confirming it on the same chat.
  • Simple admin. Moving a booking to another slot, and telling the patient to bring old reports if you want that said.

What stays with your staff and doctor

  • Clinical questions. Symptoms, medicines, "is this serious", which treatment to choose.
  • Emergencies. The assistant should only tell the patient to call the clinic or go to the nearest hospital.
  • Billing disputes, refunds and complaints. These need a human who can decide.

WhatsApp, phone or auto-reply: which fits an Indian clinic?

If your patients already message you on WhatsApp, an assistant on WhatsApp is where it helps most. An away message is a free stopgap, and a phone voice assistant is a different product you should judge separately.

The away message: a good start, not an answer

The free WhatsApp Business app can reply automatically to messages that arrive outside your business hours. Set one up today if you haven't. It tells the patient you saw the message. It cannot tell them the fee, check a slot or book it, so a patient comparing two clinics at night may still book the one that answered. Phone calls

Voice assistants that answer the clinic phone are a separate category, and this guide does not compare their claims. If you consider one, test it on a noisy line, with a patient who switches between Hindi and English, and with someone asking for the doctor by name. Ask every vendor the same ten questions, in writing, and compare the answers side by side. A vendor who won't answer one of these in writing has told you something.

  • Is the full monthly price written on your website?

    Why it matters: a price you can only get on a sales call is a price that can change for you.

  • Is there a setup fee?

    Why it matters: it is money you pay before you know whether the tool works for your clinic.

  • Are there per-message or per-conversation charges?

    Why it matters: your busiest months would also be your most expensive ones.

  • Is there a contract or notice period?

    Why it matters: if it doesn't work for you, you should be able to stop without a penalty.

  • Can my staff take over any chat?

    Why it matters: some patients need a person, and you need to be able to step in mid-conversation.

  • What does it do when a patient asks a medical question?

    Why it matters: the answer should be that it passes the question to the doctor and does not guess.

  • Where is patient data stored and who can see it?

    Why it matters: patient confidentiality is your duty, and India's data protection rules are being phased in.

  • Which number do patients see, and what happens to it if I stop?

Claims worth checking against the source

Some lines you will hear on a sales call sound reassuring but do not mean what they imply. Check the source yourself before you rely on any of them.

Test it before your patients see it

A short trial with your own staff tells you more than any sales call.

  1. Step 1: Collect real questions

    Scroll your clinic WhatsApp and note 20 questions patients asked last month, in their own words.
  2. Step 2: Message it from staff phones

    Ask two staff members to send those questions, including Hinglish and spelling mistakes.
  3. Step 3: Ask one medical question

    It should not answer. It should pass the question to the doctor or ask the patient to call.
  4. Step 4: Take over a chat

    Have staff step into a conversation halfway and check the patient sees one smooth chat.
  5. Step 5: Change a fee

    Update one fee or timing and check the next reply uses the new one.

Will patients mind talking to an AI?

We could not find a reliable survey of Indian patients on this, so be careful with anyone who quotes a figure without a link. What you can control is how the assistant behaves.

From the patient's side, a correct reply at 10 pm is better than no reply till morning. Where it goes wrong is when the patient feels stuck: a wrong answer, a loop of questions, or no way to reach a person.

  • Say what it is. Make it clear an automated assistant is replying for the clinic.
  • Offer a person. The patient should be able to ask for staff at any time, and staff should be able to step in.
  • Keep replies short. One question answered per message, in the language the patient used.
  • Never guess on clinical matters. A wrong medical answer does more harm than a slow one.
  • Read the chats. Spend ten minutes a week reading a few, as you would with a new receptionist.

Rules to keep in mind: no medical advice, NMC and patient data

What the NMC code means for an AI receptionist

  • Declaring your charges is allowed. Regulation 6.1 of the 2002 code lists a public declaration of charges as a permitted announcement, so answering fee questions is fine.
  • Soliciting patients is not. The same regulation bars soliciting patients. Don't let the assistant push discounts or offers, or make claims about being the top clinic in town. The ASCI code (opens in a new tab) also expects claims to be truthful and backed up.
  • Confidentiality still applies. Regulation 7.14 says a doctor must not disclose what they learn about a patient. The assistant should never share one patient's details with anyone else on chat, including a relative asking about reports.

Patient data under the DPDP Rules

India's Digital Personal Data Protection Rules were notified on 14 November 2025, and they come into force in stages, not all at once. The rules on the Data Protection Board itself started immediately. The rules on consent managers start a year after notification. The rules that matter most to a clinic, the exact wording a consent notice must use, how a data breach must be reported, and how long data can be kept, do not become legally binding until eighteen months after notification, around 14 May 2027.

That does not mean patient data is unprotected until then, only that the detailed rulebook is still being phased in. Ask any vendor, in writing, what they already do for patient data today, not only what they plan to do by the 2027 deadline.

Common questions

Is an AI receptionist the same as a chatbot?

Not quite. Many chatbots follow a fixed menu, such as press 1 for timings. An AI receptionist reads the patient's own words, answers from your clinic's information (fees, timings, address) and books the slot. Both should send anything clinical to the doctor.

Does it work in Hindi and other Indian languages?

Many tools say they do, but that can mean very different things. Ask for a test in the languages your patients actually use, including Hinglish typed in English letters, and judge the replies yourself before you pay.

Will it replace my receptionist?

No. It covers messages when your staff are busy or the clinic is closed. Patients standing at the desk, payments, files and the phone during clinic hours still need a person. Think of it as cover for the moments your staff can't reach the phone.

Can an AI receptionist answer medical questions?

It shouldn't. A good setup answers fees, timings, directions and bookings, and sends any question about symptoms, medicines or treatment to the doctor. For anything urgent it should ask the patient to call the clinic or go to the nearest hospital.

How long does setup take?
