What should the front desk say on a call?

A script is not a rulebook to recite word for word. It is a fallback so nobody has to invent an answer while a queue is waiting. Keep each line short enough to say in one breath.

Two lines do most of the work in a busy clinic: the fee line and the booking line. Once a caller hears both without waiting, they usually either book or say no quickly, and the desk is free for the next call sooner.

Is it okay to state fees and timings on the phone?

Yes, and this is one place a clinic can answer faster than it often does.

Timings are simpler still: there is no rule against telling a caller when the doctor is available. The only care worth taking is not to promise an exact slot before you have checked it is actually free, and to keep the wording plain, without a discount or a limited-time push, which is where NMC rules do apply.

What do you do when two lines ring at once?

Finish the call or the patient in front of you first, then deal with the second caller in one short step. The goal is not to serve two calls at once, it is to make sure the second caller does not just get silence.

    Don't cut either of them off mid-sentence to grab the second call.
  2. Step 2: Answer the second line with one short sentence

    Not in your head. A slip of paper or the call log, before you turn back to the first caller.
  4. Step 4: Call back before you move on to the next task

    Ideally within a few minutes, and before the rush moves on to the next patient.

This is a practical routine, not a rule anyone enforces, so adjust it to how your own desk actually works. The one habit worth keeping fixed is the second step: a caller who gets one honest sentence and a promise to call back is far less likely to hang up and try another clinic than one who just hears silence or a busy tone.

Something short and the same every time: the clinic name, their own name, and an offer to help, such as "Good morning, [Clinic name], this is [Name], how can I help you?" A fixed greeting means nobody has to think of one while a queue is waiting, and it sounds the same to every caller.

Is it okay to tell a caller the consultation fee over the phone?

Yes. Regulation 6.1.1 of the NMC's 2002 code of ethics lists public declaration of charges among the things a doctor may announce, and regulation 3.7.1 separately requires a clinic to display its fees on the board of its chamber. Stating the same fee on a call is consistent with a duty the clinic already has. State it plainly, without a discount or limited-time offer.

What should you do when a second call comes in while you're already on one?

Finish your sentence, then say a short line to the second caller: who they've reached, that you're on another call, and ask for their name and number so someone can call back shortly. Write it down immediately. Don't leave a caller silent on hold while you finish a long first call.

Should I call back a missed caller or send a WhatsApp message?

If the caller only rang and hung up, call back. WhatsApp's Business Messaging Policy expects the recipient to have given the business their number and opted in to messages, and a bare missed call is not that.
