What should happen when the desk opens?

What is the walk-in procedure?
A patient standing at the counter always comes first, ahead of a ringing phone or a new WhatsApp message.
- Greet the patient, and check their name and phone number against any old file before opening a new one.
- Register the visit and let them know roughly how long the wait will be.
- Queue them by arrival order, unless the doctor has set a different rule for emergencies.
What is the fee collection and receipt procedure?
Collect the fee and issue a receipt at the time of the visit, not later in the day when the amount is harder to remember correctly. Two rules from tax law belong in this step, and generic front-desk templates rarely mention either.

How should the appointment book be kept?
One appointment book or register, on paper or on a screen, updated the moment a slot is booked, not from memory at the end of the day. A second, unofficial list on someone's phone is how double-bookings happen.
Keep the book closed when someone else is at the counter. Regulation 7.14 of the 2002 code bars a doctor from disclosing a patient's details learnt in practice, apart from a few listed exceptions, and an open register on the counter is an easy way to break that without meaning to.
Which follow-ups need a written procedure?
Three kinds of follow-up happen at nearly every clinic, and each is easy to lose without a written log.
- Missed calls. Called back the same day, logged whether reached or not.
- Unanswered WhatsApp messages. Anything still open at closing gets a reply before the desk shuts, or first thing the next morning.
- Reviews the doctor has advised. Written against the patient's file with a rough date, sent as a WhatsApp reminder only if the patient agreed to receive one.

A verbal "nothing pending" does not survive a change of staff. A written one does.
Before you lock up
Reconcile the day's cash and UPI collection against the receipt book.
Close every enquiry logged during the day: done, or carried to tomorrow's opening task.
File the day's reports and receipts, and put the appointment register and patient files away.
Write a one-line note of anything unusual for whoever opens tomorrow.
