A recall message is a short, polite reminder to a past patient that a follow-up their doctor advised may be due. Send it only to patients who agreed to hear from the clinic on WhatsApp, keep it about their care rather than discounts, and stop the moment anyone asks. Samples for five specialties are below.

Does it matter if you type the message yourself or automate it?
Yes. WhatsApp treats a message you type by hand very differently from one an automated tool sends on your behalf, and that changes what you are allowed to send and when.
A recall message is, by definition, one the clinic starts. The patient has not written to you first, so on WhatsApp's own terms this is a business-initiated message. Whether that matters depends on which WhatsApp product is doing the sending.

This is one more reason the wording rules above matter. Even setting the NMC code aside, a recall template that reads like a sales push is more likely to be filed and priced by Meta as a marketing message, not a utility one. If your clinic uses an automated tool for recall messages, ask whoever runs it which category your template was approved under. That is a question for your vendor, since tools differ in how they build and file templates.
Who is actually due? Use the doctor's advice, not a blanket list
A patient is due when the doctor advised a follow-up and that time has come. Someone who came once for a certificate and was told nothing more is not due, and messaging them is closer to soliciting than recall.
The interval is the doctor's call for each patient. We don't list check-up gaps here, because that would be medical advice. The practical job is making sure the advised follow-up gets written down at the visit, so the front desk can find it later.

Every sample below follows one pattern: who is writing, that the doctor suggested a follow-up, a simple question, and a STOP line. Replace the words in square brackets. None of them names a condition, because phones are often shared at home and a recall text should not tell anyone else why the patient visited.

If a patient asks a clinical question in reply, such as whether they still need to come, the answer is that the doctor will tell them at the visit or on a call. The chat should not guess.
Which words should you avoid in a recall message?
Avoid anything that sells: discounts, urgency, promises and health details. A recall message should read like a note from the clinic's front desk, not an advert.

How often is too often?
Our suggestion is one recall message and, at most, one gentle follow-up. There is no rule that fixes this number. It is simply the point where a reminder starts to feel like chasing.

Timings in the steps are our suggestion, not a rule. WhatsApp also lets people block or report a business, and its policy says messaging can be limited when a business's quality is low, which is one more reason to send less.
- Send in clinic hours. A message at 11 am can be answered by the front desk. One at 11 pm cannot.
- One patient, one message. Write to each person on their own, never in a group where others can see who else is a patient.
- Keep the list honest. Update the reply column the same day, so no one is messaged twice by two different staff members.

Common questions
Can I send offers to past patients on WhatsApp?
We would not. The 2002 NMC code, which applies as of 17 Sep 2026, calls soliciting patients directly or indirectly unethical, and a discount sent to old patients to fill slots is hard to read any other way. Declaring your charges is allowed. Not legal advice.
Do I need patient consent to send a recall message?
Yes. WhatsApp's Business Messaging Policy allows a business to message someone only if they gave you their number and you received opt-in permission. The DPDP Act, 2023 also expects consent to be free, specific, informed and given through a clear action. Not legal advice.
What if a patient asks me to stop?
Stop at once and mark it in your records so nobody at the clinic messages them again. WhatsApp's policy says a business must respect every request to opt out, whether it comes on WhatsApp or in person at the desk.
How do I know who is due?
Look at what the doctor wrote at the last visit. If a follow-up was advised with a rough date, that patient is due around then. If nothing was advised, there is no recall to send.
Do I need WhatsApp's approval before sending a recall message?
Only if it goes out through the WhatsApp Business Platform, the system behind most automated recall tools. Meta's documentation says a business must use a pre-approved template message once the patient's own 24-hour reply window has closed, which covers almost every recall message.
