Most clinics spend on a Google profile, a WhatsApp number, some signage and maybe an Instagram page, without ever finding out which one actually brought a patient in. None of the four ways below need paid software.

Why does it matter where a new patient came from?

It matters because without this, a clinic either keeps paying for everything or cuts something useful by guesswork. A doctor who does not know whether last month's new patients came from Google, a referral, or walking past the signboard has no way to tell which effort is worth repeating and which one is not doing much.

This is not about complicated marketing attribution. It is three small habits, each one taking a few minutes to set up, that between them cover most of how a patient actually finds a clinic in India.

How do I ask a patient how they heard about us?

The simplest way is to ask directly, at the moment of booking, with a short list of choices rather than an open question that gets skipped. Add one line to your intake form or register: "How did you hear about us?" with options such as Google, WhatsApp, referred by a patient, walk-in, or social media, plus an "other" box for anything that does not fit.

  • Keep the choices short. Five or six options are enough for most clinics; a long list slows down the front desk and gets filled in carelessly.
  • Ask every patient, not only new ones you notice. A returning patient can be marked "returning" in one tick, which itself feeds the monthly tally further down this page.
  • Do not chase names. If a patient says a friend referred them, that is enough. Asking them to name that friend turns a quick question into an awkward one.

Every link opens the same WhatsApp number. The pre-filled text is what tells you, at a glance, which one was tapped.

Put one link on your Google Business Profile, a different one in your Instagram bio, a third on a printed card handed out at the desk, and a fourth as the WhatsApp button on your website. A patient may edit or delete the pre-filled text before sending, so glance at the message as soon as it arrives and note the source in your log, rather than relying on the text staying there for good.

  • Decide which channels you actually want to tell apart, for example your Google profile, Instagram, a printed card and your website.

  • Write a short, natural message for each one, in words a patient would actually send as is.

  • Test every link yourself on a phone before putting it anywhere public.

  • Note the source as soon as a message arrives, since the pre-filled text can be edited or deleted before it is sent.
